Sales how-to

How to write discovery call summaries with Claude.

Discovery call summaries either get skipped (rep moves to next call), or take 30 minutes that the rep does not have. Claude turns a transcript into a structured summary, CRM update, and follow-up email in 5 minutes. Here is the workflow.

The premise

Why discovery summaries matter and why they get skipped

A good discovery summary informs proposal quality, next-call context, and account handoff if anything changes. A bad or missing summary means the rep operates from memory — which decays fast.

Most reps skip summaries because they take 20-30 minutes manually. Claude does the work in 5 minutes if you brief it correctly.

Produce 3 outputs:

1. CRM update (8-12 bullets):
- Their stated pain points (in their words)
- Current solution and what is wrong with it
- Buying process (who is involved, timeline)
- Specific commitments made by either side
- Next step agreed

2. Follow-up email to the prospect (150 words):
- Open referencing 1-2 specific things they said
- Recap the agreed next step
- Attach the 1 resource I promised
- Close with timing

3. Internal note for my manager (5 bullets):
- Likelihood this deal closes (1-10 with reasoning)
- Biggest risk to the deal
- The 1 specific support I need from leadership
- Coaching point for me on this call (be honest)
- Question I should be asking on the next call
