Best AI tools for startups 2026: the under-$200/month stack.

Most 'best AI tools for startups' lists recommend $3,000/month of tooling. That's absurd for an early-stage company. This is the realistic under-$200/month stack that actually replaces 2-3 hires.

The short version

Under-$200/month startup AI stack: Claude Pro ($20) + ChatGPT Plus ($20) + Perplexity Pro ($20) + Fathom (free or $30) + Apollo or Clay starter tier ($100) + Zapier ($30) = ~$200/month. This stack covers strategy, writing, research, meeting summaries, sales prospecting, and basic automation — the work that would otherwise need 2-3 hires.

The $200/month startup stack

Six tools that earn their place at the earliest stage:

1. Claude Pro ($20/mo) — primary thinking and writing partner. The most-used tool in your stack.
2. ChatGPT Plus ($20/mo) — for multimodal work (images, voice), Custom GPTs, and as a second opinion on important work.
3. Perplexity Pro ($20/mo) — for research that requires synthesizing across multiple current sources. Beats Google for strategic research.
4. Fathom (free tier or $30/mo) — for meeting summaries. Free tier is genuinely useful.
5. Apollo or Clay starter ($100/mo) — for sales prospecting and lead enrichment. Apollo for breadth; Clay for depth.
6. Zapier ($30/mo) — to connect everything else.

What this stack actually does

With these six tools, a founder + 1-2 person team can:
• Run strategy work that would otherwise need a consultant ($5K+/mo)
• Produce content at the pace of a small content team (2-3 hires equivalent)
• Run outbound sales prospecting (replaces an SDR hire — $80K/yr equivalent)
• Maintain meeting records and CRM hygiene (replaces a part-time admin)
• Automate basic workflows across tools (replaces a part-time ops person)

Total cost: $2,400/year. Equivalent labor cost: $200K-$300K/year. The math is obvious.

What to add at $1M-$5M ARR

As you grow past $1M ARR, add:

HubSpot Starter ($20-$100/mo) for proper CRM and email automation
Gong if sales-heavy ($130-$160/seat) — only when you have 3+ AEs
Dedicated ad creative tool ($50-$100/mo) — only when you're spending $5K+/mo on ads
Better SEO tools ($100-$200/mo) — only when content is a primary channel

Total stack at this stage: $500-$1,000/month. Still trivial relative to the value generated.

What NOT to buy as a startup

Three categories to skip until later:

1. Enterprise AI CMO platforms. Okara, Lindy at expensive tiers. You don't have the budget or maturity. Use Claude + custom workflows instead.
2. ABM platforms. 6sense, Demandbase, Mutiny. Premature until you have enterprise motion and $30M+ ARR.
3. Marketing automation enterprise tiers. Marketo, Pardot. Start with HubSpot Starter; upgrade only when you genuinely need more.

The operating principle for startup AI

At startup stage, prefer flexible cheap tools over polished expensive ones. You'll change your stack 5+ times before $5M ARR. Don't lock into vendors that are hard to migrate from. Claude + Zapier + a few simple tools beats integrated suites for most early-stage companies.

When to graduate from the $200 stack

Three signals you've outgrown the starter stack:

1. You have 5+ marketing/sales people and the tools are slowing down team coordination
2. You're spending $10K+/mo on marketing channels (paid, content) and need better attribution
3. You're at $5M+ ARR and the next dollar of revenue requires infrastructure you don't have

Even then, don't blow up the stack — add the next tier on top of what works.
